Managing Orders

Official guide · English · Version 9c253d0cf11816df

The Orders list page provides a powerful set of tools for searching, filtering, and managing your orders. This guide covers everything you need to know about working with the order list.

The Orders Table

Below the statistics cards on the Orders page, you will find the main orders table. Each row represents a single order and displays the following columns:

Column Description
Order # The unique order number (e.g., ORD-00042). Clicking the order number or the row navigates you to the order detail page. The order number is displayed as a clickable blue link.
Source A color-coded badge indicating where the order originated (Chatbot, Store, Shopify, Amazon, etc.).
Customer The customer's name and email address. If the customer did not provide a name, it displays "Guest".
Total The total order amount, formatted in your store's currency.
Status The current order status badge (Pending, Confirmed, Processing, Shipped, Delivered, Cancelled, or Refunded).
Payment The current payment status badge (Unpaid, Pending, Paid, Failed, Refunded, or Cancelled).
Shipping The current shipping status badge (Not Shipped, Preparing, Shipped, In Transit, Delivered, or Returned).
Date The date and time the order was placed, formatted according to your locale settings.
Actions Action buttons for the order (View and Fulfill).

Action Buttons

Each order row has up to two action buttons in the Actions column:

  • View (eye icon) -- Opens the order detail page where you can see the full order information, manage its status, and handle shipping.
  • Fulfill (package-check icon) -- Only appears for orders with a shipping status of "Not Shipped" that have not been cancelled. Opens the quick fulfillment modal directly from the list.

Info: You can also click anywhere on the order row itself to navigate to the order detail page. The entire row is clickable.

Searching Orders

At the top of the orders table, there is a search bar where you can search by:

  • Order number -- Search by the full or partial order number.
  • Customer name -- Search by the customer's name.
  • Customer email -- Search by the customer's email address.
  • Customer phone -- Search by the customer's phone number.

Simply type your search term into the search field. The results update automatically as you type -- there is no need to press Enter. The search is performed server-side, so it works across all your orders, not just the ones currently visible on the page.

Filtering Orders

The Orders page provides five different filter dropdowns and a date range picker, allowing you to narrow down the orders list precisely.

Available Filters

Filter Options Description
Source All Sources, Chatbot, Store, Shopify, WooCommerce, PrestaShop, OpenCart, Amazon, eBay, API Filter orders by the channel they originated from.
Order Status All Statuses, Pending, Confirmed, Processing, Shipped, Delivered, Cancelled, Refunded Filter by the current order processing status.
Payment Status All Payments, Pending, Paid, Failed, Refunded, Cancelled Filter by payment status.
Shipping Status All Shipping, Not Shipped, Preparing, Shipped, In Transit, Delivered, Returned Filter by shipping/delivery status.
Date Range Start date and End date pickers Filter orders placed within a specific date range.

Using Filters

Select a Filter

Click on any of the filter dropdown menus (Source, Order Status, Payment Status, or Shipping Status) and select the value you want to filter by.

Combine Multiple Filters

You can combine filters to create very specific views. For example, you can filter for orders that are:

  • Source: Storefront
  • Status: Confirmed
  • Payment: Paid
  • Shipping: Not Shipped

This combination would show you all paid storefront orders that are confirmed but have not been shipped yet -- perfect for identifying orders ready for fulfillment.

Filter by Date Range

Use the two date input fields to specify a start date and an end date. Only orders placed within this range will be shown. You can use the date range in combination with other filters.

Clear Filters

When you have active filters applied, a Clear button appears next to the filter controls. Click it to reset all filters and the search field back to their defaults, showing all orders again.

Info: Changing any filter automatically resets you to page 1 of the results. This ensures you always see the most relevant results starting from the beginning.

Pagination

The orders table displays 10 orders per page. When you have more than 10 orders matching your current search and filter criteria, pagination controls appear at the bottom of the table.

  • Use the left arrow button to go to the previous page.
  • Use the right arrow button to go to the next page.
  • The current page number and total number of pages are displayed between the arrow buttons (e.g., "Page 1 of 5").

The previous-page button is disabled when you are on page 1, and the next-page button is disabled when you are on the last page.

Quick Fulfillment from the Order List

For orders that have not been shipped yet and are not cancelled, you can quickly mark them as shipped directly from the orders list without navigating to the order detail page.

Click the Fulfill Button

In the Actions column of the order row, click the Fulfill button (the package-check icon in blue). This opens the fulfillment modal.

Select a Carrier

In the modal, select a shipping carrier from the dropdown. The available carriers are:

Carrier Description
Post Standard postal service
Tipax Tipax courier service
Chapar Chapar delivery service
Snapp Express Snapp Express same-day delivery
DHL DHL international shipping
FedEx FedEx shipping
UPS UPS shipping
Other Any other carrier not listed

Enter a Tracking Number (Optional)

If you have a tracking number from the carrier, enter it in the Tracking Number field. This field is optional -- you can fulfill the order without a tracking number if one is not available yet.

Confirm Fulfillment

Click the Mark as Shipped button to complete the fulfillment. The order's shipping status will be updated, and the order list and statistics will refresh automatically.

Cancel

If you change your mind, click Cancel or click outside the modal to close it without making changes.

Info: For more advanced fulfillment options including smart carrier rate comparison, automatic fulfillment, manual shipment creation with tracking URL previews, and estimated delivery dates, use the full Order Detail page.

Tips for Efficient Order Management

  • Process pending orders first: Use the Order Status filter set to "Pending" to see orders that need your attention.
  • Find fulfillment-ready orders: Combine Payment Status "Paid" with Shipping Status "Not Shipped" to find orders that are paid but not yet shipped.
  • Track marketplace orders: Use the Source filter to isolate orders from a specific channel (e.g., Amazon or Shopify) for reconciliation.
  • Use date ranges for reporting: Filter by a specific date range to review orders for a particular period, useful for end-of-month or end-of-week processing.
  • Monitor failed payments: Filter by Payment Status "Failed" to identify orders with payment issues that may need customer follow-up.
