Official guide · English · Version 9c253d0cf11816df
This guide walks you through the complete process of inviting a new team member to your DirectSale account.
Prerequisites
Before you can invite a team member:
- You must be logged in as the Owner or an Admin.
- Your plan must have available member slots (check the counter next to the "Invite Member" button).
Step-by-Step: Sending an Invitation
Step 1: Open the Invite Dialog
- Navigate to Dashboard > Team.
- Click the "Invite Member" button in the top-right corner.
- The invitation dialog will open.
Info: If the "Invite Member" button is disabled, you have reached your plan's team member limit. Upgrade your plan to invite more members.
Step 2: Enter the Member's Email
In the Email field, enter the email address of the person you want to invite.
- This email will be used as their login credential.
- An invitation link will be sent to this address.
- The email must be a valid email address that is not already associated with another team member on your account.
Step 3: Enter a Display Name
In the Display Name field, enter the name of the team member.
- This name is shown throughout the dashboard (in team lists, activity logs, operator info, etc.).
- The minimum length is 2 characters.
- The member can change their display name later.
Step 4: Select a Role
Choose a role for the new team member. The role determines what they can access in the dashboard. The available roles are presented as radio buttons with descriptions:
| Role | Description |
|---|---|
| Admin | Full access except account deletion. Can manage team, products, orders, settings, and everything else. |
| Manager | Access to conversations, products, orders, analytics, services, shipping, and related operational features. |
| Operator | Access to conversations, orders, media, shipping, and appointments. Focused on day-to-day operations. |
| Viewer | Read-only access to dashboard, conversations, analytics, and media. Cannot make any changes. |
Info: The default selection is Operator, which is suitable for most team members who need to handle customer conversations and orders.
For a complete breakdown of what each role can access, see the Roles & Permissions page.
Step 5: Send the Invitation
- Click the "Send Invitation" button.
- Wait for the confirmation message to appear.
- The dialog will automatically close after a successful invitation.
What Happens After You Send an Invitation
- An invitation email is sent to the specified email address.
- The team member appears in your team list with a "Invited" status badge (yellow).
- The member count updates to reflect the new invitation.
What the Invitee Receives
The invited person receives an email containing:
- A welcome message explaining they have been invited to join your store.
- A unique invitation link that they must click to accept.
- Instructions to set up their password.
Accepting the Invitation
When the invitee clicks the invitation link:
- They are taken to a page where they set their password.
- Once the password is set, their account is activated.
- Their status changes from "Invited" to "Active".
- They can now log in to the dashboard with their email and the password they created.
Handling Common Scenarios
The Invitee Did Not Receive the Email
If the team member did not receive the invitation email:
- Ask them to check their spam/junk folder.
- If still not found, go to Dashboard > Team.
- Click the three-dot menu on the member's card.
- Click "Resend Invitation" to send a new email.
The Invitation Link Has Expired
Invitation links expire after a set period. If the link has expired:
- Go to Dashboard > Team.
- Click the three-dot menu on the invited member's card.
- Click "Resend Invitation" to generate and send a fresh invitation link.
You Invited the Wrong Person
If you sent an invitation to the wrong email address:
- Go to Dashboard > Team.
- Click the three-dot menu on the incorrect member's card.
- Click "Remove" to delete the invitation.
- Send a new invitation to the correct email address.
The Member Needs a Different Role
You can change a member's role at any time, even before they accept the invitation:
- Go to Dashboard > Team.
- Click the three-dot menu on the member's card.
- Select the desired role (e.g., "Change to Admin").
Plan Limits
Each subscription plan includes a maximum number of team members. This limit includes:
- All active team members
- All invited (pending) members
- All inactive (deactivated) members
The current usage is shown in the header as a counter (e.g., "3 / 5").
When you reach the limit:
- The "Invite Member" button is disabled.
- A warning banner appears at the bottom of the team page.
- You must either remove existing members or upgrade your plan to add more.
Info: The account owner is not counted against the team member limit. The limit applies only to invited team members.
Best Practices
- Use the least-privilege principle: Assign the most restrictive role that still allows the team member to do their job. Start with Operator or Viewer and upgrade if needed.
- Set meaningful display names: Use real names so other team members can easily identify who is who in activity logs and conversation assignments.
- Review your team periodically: Deactivate or remove team members who no longer need access, especially when employees leave the organization.
- Inform invitees to check spam: Let new team members know to check their spam folder if they do not receive the invitation email promptly.
