Schedules & Availability

Official guide · English · Version 9c253d0cf11816df

The Schedules page lets you manage the weekly availability for each service provider on your team. By setting working hours, break times, and schedule overrides, you control exactly when customers can book appointments.

Accessing the Schedules Page

  1. Navigate to Dashboard > Services.
  2. Click on the "Schedules" tab in the services navigation (or go directly to /dashboard/services/schedules).

Selecting a Provider

Before you can configure a schedule, you must select a team member (provider) from the dropdown at the top of the page.

  1. Use the "Select Provider" dropdown to choose a team member.
  2. The weekly schedule and any existing overrides for that provider will load automatically.

Info: If no team members appear in the dropdown, you need to invite team members first. Visit the Team Management section to add members to your account.

Weekly Schedule

The weekly schedule grid lets you define regular working hours for each day of the week (Sunday through Saturday).

Schedule Grid Columns

Column Description
Day The day of the week (Sunday through Saturday).
Available Checkbox to mark whether the provider works on this day.
Start Time The time the provider begins accepting appointments.
End Time The time the provider stops accepting appointments.
Break Start Optional. The start of a break period during the day.
Break End Optional. The end of a break period during the day.

Default Schedule

When a provider has no saved schedule, the system provides a sensible default:

  • Monday through Friday: Available, 9:00 AM to 5:00 PM
  • Saturday and Sunday: Not available

Configuring the Weekly Schedule

  1. Select a provider from the dropdown.
  2. For each day of the week:
    • Check or uncheck the Available checkbox to toggle that day on or off.
    • Set the Start Time and End Time for the working period.
    • Optionally set Break Start and Break End to define a break (e.g., a lunch break from 12:00 to 13:00).
  3. Click "Save Schedule" to persist your changes.

Info: Time inputs disabled when a day is marked as unavailable. You only need to set times for days that are checked as available.

Schedule Overrides

Overrides let you modify a provider's availability on specific dates. Use overrides for holidays, vacations, special events, or any day that deviates from the regular weekly schedule.

Types of Overrides

  1. Day Off -- The provider is completely unavailable on the specified date, regardless of the weekly schedule.
  2. Custom Hours -- The provider is available on the specified date, but with different hours than their regular schedule.

Adding a Schedule Override

  1. Select a provider from the dropdown (their schedule and overrides will load).
  2. Click the "Add Override" button in the Schedule Overrides section.
  3. In the dialog that opens:
    • Date -- Select the date for the override.
    • Whole Day Off -- Check this box if the provider should be completely unavailable on this date.
    • Custom Hours -- If "Whole Day Off" is unchecked, set the Start Time and End Time for the special hours.
    • Reason (optional) -- Enter a reason for the override (e.g., "National Holiday", "Team Building Day", "Doctor's appointment").
  4. Click "Add Override" to save.

Viewing Overrides

Existing overrides are displayed as a list below the weekly schedule. Each override shows:

  • The date of the override
  • The reason (if one was provided)
  • A badge indicating either "Unavailable" (day off) or the custom hours (e.g., "10:00 - 14:00")

Deleting an Override

To remove a schedule override:

  1. Find the override in the list.
  2. Click the red trash icon on the right side.
  3. The override is deleted immediately.

Info: Overrides take priority over the weekly schedule. If a provider is set as available on Mondays in their weekly schedule, but has a "Whole Day Off" override on a specific Monday, they will be unavailable for that date only. All other Mondays remain available.

How Schedules Affect Bookings

The schedule system directly controls which time slots are available for customer booking:

  1. The weekly schedule defines the baseline availability for each day of the week.
  2. Break times are excluded from bookable slots.
  3. Schedule overrides modify or disable availability on specific dates.
  4. Buffer times (configured per service) are factored in -- a 60-minute service with 10 minutes of buffer before and after requires an 80-minute open window.
  5. Max capacity determines how many customers can book the same slot.

Info: Each provider has their own independent schedule. If a service has multiple providers, the available time slots shown to customers are the union of all assigned providers' schedules.

Best Practices

  • Set break times to prevent burnout and allow for preparation between appointments.
  • Add overrides in advance for known holidays and vacation days so customers cannot book those dates.
  • Review schedules regularly to ensure they match each provider's actual availability.
  • Use buffer times on services to account for transition time between appointments, rather than building padding into the schedule itself.
