Linked Stores and Centrally Managed Catalogs

Official guide · English · Version 9c253d0cf11816df

Use Dashboard > Multichannel > Linked Stores to connect two or more DirectSale tenants. One hub is the central source; each satellite sells through its own store. This is not a messaging-channel or external WooCommerce connection.

Manage this tenant's website on a VPS

Set up the initial website in Dashboard > Deploy. Then use Linked website on VPS on this page for synchronization status, central/VPS product counts, the last publication, Refresh and Sync now. This card uses your existing website connection; no invitation or second tenant is needed.

Saved product, price, stock and published website changes are sent automatically. Each accepted publication clears the website cache. Sync now queues a full publication; wait for the pending status to clear before treating it as complete. A failed delivery keeps its error visible and retries automatically. Draft pages, layouts and blog posts stay private until published.

The same product and stock change events that synchronize linked stores also publish the changed tenant's VPS website. Linked-store category changes publish the destination tenant's VPS categories too. Configure the relationship between two tenants using the options below; website publication uses the complete published website data.

Before linking two tenants

Sign in as the owner of each participating tenant. Create the separate accounts first and know the satellite owner's registered email. Agree which store owns products, prices, stock and accounting. Review existing SKUs, variants and categories before synchronizing live catalogs.

A hub can have multiple satellites. A satellite can have only one pending, active or paused hub relationship and cannot itself be a hub. A hub with participating stores cannot become a satellite. Linking does not grant access to the other tenant's password, users, conversations or all settings.

Connect two stores, then add more

  1. Sign into the intended hub as owner and open Linked Stores.
  2. In Connect a satellite tenant, enter Satellite tenant owner email. Use the existing account's email, not a customer email.
  3. Review the synchronization options. Many options are enabled by default; Customer details is off.
  4. Review the hub warehouse, safety stock and pricing adjustment shown in the form.
  5. Select Send invitation. The relationship is Pending, not yet authorized to synchronize.
  6. Sign into the invited satellite as its owner. Open Linked Stores, verify the hub and proposed scope, then select Accept connection or Reject.
  7. Invitations expire after seven days. Ask the hub to send a fresh invitation if necessary. Check the in-panel invitation even if no notification email arrived.
  8. When Active, return to the hub and select Sync now. Inspect the result and actual satellite products.
  9. To connect a third or later tenant, repeat from the same hub. Each satellite owner must approve its own invitation.

Synchronization options

Option Meaning and checks
Products Core product data follows the hub; verify names and SKU matching
Categories Hierarchy, ordering and product assignments follow the hub
Descriptions Centrally managed product descriptions; edit these at their source
Images Product and variant images follow the hub
Product SEO Product slugs and SEO metadata; review existing localized URLs
Promotions Discounts, gifts and festival flags
Visibility & preorder Publishing, featured and preorder settings; this does not publish a private storefront
Units Product units and quantity precision
Prices Hub-authoritative checkout pricing when enabled; verify adjustments and currency
Inventory Central stock validation/reservation; check warehouse, safety stock and variants
Orders Satellite sales are recorded in the hub
Cancellations Cancellation/return synchronization; requires Orders
Central accounting Central handling of sales invoices; requires Orders
Customer details Separate permission to share customer identity and delivery details; requires Orders
Variants Variant mapping and control, not merely parent product matching
Create missing products Creates satellite products when a matching SKU is missing; check duplicates and plan limits

Cancellations, Central accounting and Customer details cannot be enabled without Orders. Correct rejected combinations rather than repeatedly retrying. Do not assume linking converts currencies or merges subscriptions and payment credentials.

Change settings and verify the result

  1. Open the relevant card in the hub, change the intended options, and select Save settings.
  2. Wait for confirmation, then use Sync now while Active.
  3. Reload a sample satellite product and compare the fields you enabled.
  4. Review mapped products, mapped categories, central orders, sync events and the last synchronized time on the card.

Saving settings does not prove a full sync finished. Check one product with variants, its price, warehouse stock and image assignments. Hub-controlled fields must be edited at the hub; AI generation and metadata autofill cannot bypass that ownership.

Map existing categories manually

  1. Expand Manual category mapping in the hub's connection card.
  2. Choose Central category and Satellite category. Labels include hierarchy and language.
  3. Select Create mapping or Update mapping.
  4. Inspect the status and any last sync error. Select Refresh after changes.
  5. If a list is empty, create categories first or run Sync now with category sync enabled.

A satellite category already used by another mapping in the same connection cannot be assigned twice. Removing a mapping does not delete the category; automatic sync may match it again by name. Category hierarchy, ordering and assignments follow the hub when category synchronization is enabled.

Daily operations and independent settings

A satellite keeps its own storefront design, domain and independent page content. This feature is not a universal login or a combined inbox for all tenants. Use Team Management for staff access and Connections for external commerce platforms.

Before real sales, verify representative products and stock at both stores. A displayed stock number is not proof of successful central reservation. After an authorized test order, check its central reference and that accounting/customer sharing follows the selected scope. Avoid entering the same central sale manually a second time.

Pause, resume or disconnect

  • Pause temporarily stops an active relationship; either participant can pause.
  • Resume works on a paused relationship, and only the tenant that paused it can resume.
  • Disconnect requires confirmation. Existing products and orders remain, but synchronization stops. Review stock, pricing and pending fulfillment first.
  • Reject declines a pending invitation without activating it.

Troubleshooting

Symptom Next action
Access denied Sign in as the tenant owner; team membership alone is not sufficient
Satellite not found Check the registered email and that it is a different existing tenant
Already has a hub Inspect pending, active and paused connections
Cannot become a hub/satellite Check the one-level structure; chained hubs are not supported
Invitation expired Send and accept a fresh invitation
Sync unavailable Confirm Active status and perform the action from the hub
Field edits blocked Edit the hub-owned field at its source or review sync settings
Missing/duplicate products Compare SKUs, mappings, variants, create-missing option and sync errors
Invalid warehouse Select an active warehouse belonging to the hub
Resume rejected Use the account that paused the connection
Customer details missing Check the separate Customer details option and Orders dependency
