Accounting Approvals

Open Accounting > Approvals to review documents awaiting authorization and inspect approval history.

Before you start

Use an authorized role and know your business's approval policy. Read the source invoice/transaction before approving. Approval may allow posting or downstream processing; it is not merely marking a notification as read.

Review a pending item

  1. Open Pending.
  2. Identify the document type and source reference.
  3. Review contact, currency, amounts, items, tax and supporting information in the source document.
  4. Select Approve if correct, or Reject if it needs correction.
  5. For rejection, enter a useful reason even when the field is optional.
  6. Reload the queue and source document to confirm the resulting status.

Review history

Open History, choose the available type filter and inspect action, actor, reason, entity reference and date. Use pagination for older events. No pending items means nothing is currently awaiting approval in that view, not that every document is paid or posted.

Troubleshooting

Missing item: confirm it was submitted and not already acted on, and check the account/role. Rejected action: inspect current status and permission requirements. After a timeout, check History before clicking again.

Approval policy is configured in Accounting Settings. Use Audit Log for broader recorded changes.
