Recurring Invoices
Official guide · English · Version 9c253d0cf11816df
Recurring invoices generate sales invoices on a schedule. They do not automatically collect a card or bank payment.
Before you start
Create the customer contact and confirm accounting access, currency, prices, tax/accounting configuration and approval policy. Agree the billing schedule outside the software before enabling automation.
Create a schedule
- Open Accounting > Recurring Invoices and select the new/create action.
- Enter a recognizable template name and choose the contact.
- Select Weekly, Every two weeks, Monthly, Quarterly, Semiannual or Annual.
- Add invoice lines with product name, quantity and unit price.
- Review Auto approve. Leaving it off permits review; enabling it can change the generated invoice's approval workflow.
- Save, then inspect total, active status and next due date on the list.
- Open the edit action to correct future template details when necessary.
Generate, pause and verify
Use the offered Run/Generate action only when you intend to create the next invoice. Inspect Sales Invoices after it completes. Do not press it repeatedly because the list was slow to refresh. Pause or deactivate a schedule to stop future scheduled generation; resuming does not authorize charging the customer.
Deleting a template is not deletion or cancellation of invoices already created. Correct existing invoices through their normal invoice workflow.
Troubleshooting
No invoice: confirm active status, due date, customer, line values and any generation error. Draft instead of approved: check Auto approve and accounting approval requirements. Missing payment: a generated invoice is not a bank receipt; use the normal payment workflow when money is received.
