The Reports section provides powerful financial reporting tools to analyze your business performance. You can generate profit and loss statements, revenue trend analyses, product margin breakdowns, expense analyses, aging reports, VAT returns, and more.

Accessing Reports

Navigate to Dashboard > Accounting > Reports > Reports.

Report Types

The reports page organizes its reports into tabs. Each tab provides a different perspective on your financial data.

Profit & Loss (P&L)

The Profit & Loss report (also called an Income Statement) summarizes your revenues, costs, and expenses over a selected period.

Structure of the P&L report:

Section Description
Revenue
Online Sales Revenue from online/standard invoices.
Walk-in Sales Revenue from walk-in (POS) sales.
Total Revenue Sum of all revenue sources.
Cost of Goods Sold (COGS) Direct costs of products sold.
Gross Profit Total Revenue minus COGS.
Expenses
(By Category) Each expense category is listed separately with its total amount.
Total Expenses Sum of all expense categories.
Net Profit Gross Profit minus Total Expenses. This is the bottom line of your business performance.

Info: The P&L report is the most important financial report for understanding whether your business is making or losing money. Review it at least monthly to track your performance trajectory.

Revenue Trend

The Revenue Trend report displays your revenue over time, broken down by period (month by month). This helps you identify:

  • Seasonal patterns -- Which months typically see higher or lower revenue.
  • Growth trends -- Whether your revenue is trending upward or downward over time.
  • Anomalies -- Unusual spikes or dips that may warrant investigation.

The report shows a bar chart visualization with each bar representing one month's total revenue and order count.

Product Margins

The Product Margins report analyzes the profitability of your individual products. For each product, it shows:

Metric Description
Product Name The name of the product.
Units Sold Total number of units sold in the selected period.
Revenue Total revenue generated from this product.
Cost Total cost of goods sold for this product.
Margin Revenue minus Cost.
Margin % Margin as a percentage of revenue.

This helps you identify which products are most profitable and which may need pricing adjustments.

Expense Breakdown

The Expense Breakdown report provides a detailed analysis of your spending by category. It includes:

  • A list of all expense categories with their total amounts.
  • The percentage of total expenses each category represents.
  • Visual bars showing relative spending across categories.

This report is useful for identifying cost centers, spotting trends in spending, and finding areas where costs can be reduced.

Date Range Filtering

All reports support date range filtering:

Filter Description
Start Date The beginning of the reporting period.
End Date The end of the reporting period.

By default, reports show data for the current month. You can change the date range to view:

  • Monthly data (e.g., January 1 to January 31)
  • Quarterly data (e.g., January 1 to March 31)
  • Annual data (e.g., January 1 to December 31)
  • Custom periods for specific analysis needs

Additional Report Tools

Beyond the main reports page, the Accounting module provides additional reporting capabilities accessible from the Reports tab navigation:

Aging Reports

Navigate to Dashboard > Accounting > Reports > Aging.

Aging reports show the age of outstanding invoices grouped into time buckets:

Bucket Description
Current Invoices not yet due.
1-30 days Invoices 1 to 30 days past due.
31-60 days Invoices 31 to 60 days past due.
61-90 days Invoices 61 to 90 days past due.
90+ days Invoices more than 90 days past due.

There are two types of aging reports:

Type Description
Accounts Receivable (AR) Aging Shows outstanding sales invoices grouped by age. Helps you identify customers who are slow to pay.
Accounts Payable (AP) Aging Shows outstanding purchase invoices grouped by age. Helps you prioritize which supplier bills to pay first.

VAT Returns

Navigate to Dashboard > Accounting > Reports > VAT Returns.

VAT return reports summarize the VAT (value-added tax) collected and paid during a specific period:

Field Description
Output VAT The total VAT collected from customers on sales invoices.
Input VAT The total VAT paid on purchase invoices.
Net VAT Output VAT minus Input VAT. This is the amount owed to (or refundable from) the tax authority.

Audit Log

Navigate to Dashboard > Accounting > Reports > Audit Log.

The audit log provides a chronological record of all accounting actions performed in your system, including:

  • Invoice creation, approval, and payment
  • Journal entry posting and voiding
  • Account creation and modification
  • Settings changes

This is essential for internal controls, compliance, and audit trail requirements.

Data Export

Navigate to Dashboard > Accounting > Reports > Export.

The export feature allows you to download your financial data in various formats for external analysis, backup, or tax filing purposes. Available exports may include:

Export Description
General Ledger Complete ledger data for all accounts.
Trial Balance Summary of all account balances.
Invoices Sales and purchase invoice data.
Transactions Treasury transaction data.

Using Reports Effectively

Set Your Reporting Period

Before analyzing any report, set the appropriate date range. For monthly reviews, use the calendar month. For quarterly reviews, span three months.

Start with the P&L

The Profit & Loss report gives you the big picture. Check whether you are profitable and compare against previous periods or budget targets.

Drill Into Details

If the P&L shows unexpected results:

  • Check the Revenue Trend to see if revenue is the issue.
  • Check the Expense Breakdown to see if costs are higher than expected.
  • Check Product Margins to see if specific products are underperforming.

Review Aging Reports

After the P&L, check aging reports to understand your cash flow position:

  • How much money is owed to you (AR Aging)?
  • How much do you owe to suppliers (AP Aging)?
  • Are any amounts significantly overdue?

Take Action

Based on your report analysis:

  • Follow up with customers on overdue invoices.
  • Adjust pricing on low-margin products.
  • Reduce spending in high-expense categories.
  • Update budgets to reflect actual performance.

Tips for Financial Reporting

  • Establish a reporting routine -- Review P&L monthly, aging reports weekly, and detailed reports quarterly.
  • Compare periods -- Always compare the current period to the previous period (month-over-month or year-over-year) to identify trends.
  • Use the budget module alongside reports to compare actual results against your planned targets.
  • Export data for deeper analysis in spreadsheet applications when the built-in reports do not provide the specific view you need.
  • Share reports with stakeholders by printing or exporting them for team meetings and investor updates.
  • Act on insights -- Reports are only valuable if you use them to make decisions. Identify actionable items from each review.
