The Accounting module is the financial backbone of your DirectSale platform. It provides a comprehensive suite of tools to manage invoices, track expenses, reconcile bank statements, maintain your chart of accounts, generate financial reports, and much more -- all within a multi-tenant environment where each business operates independently.

Accessing the Accounting Module

Navigate to Dashboard > Accounting from the main sidebar. The accounting section opens to the Overview dashboard by default.

The Accounting module is organized into seven main tabs, each containing related sub-sections:

Tab Sub-sections Description
Dashboard -- Financial summary, revenue trends, expense breakdown, top sellers, low stock alerts
Invoices Sales Invoices, Purchase Invoices, Credit Notes, Debit Notes, Recurring, Installments, Contacts, Products Invoice operations and contact management
Treasury Treasury, Reconciliation, Expenses, Payment Instruments, Receipts & Payments Cash, bank, instrument and voucher workflows
Bookkeeping Journal Entries, General Ledger, Chart of Accounts, Opening Balances Double-entry bookkeeping and opening documents
Reports Reports, Financial Analysis, Aging, VAT Returns, Audit Log, Discrepancies, Export Reports, checks and exports
Warehousing Inventory, Warehouses, Stock Transfers, Fulfillments, Stock Counts, Tracking, Units, Consignment, Manufacturing Inventory and production operations
Settings Settings, Payment Terms, Tax Rates, Budgets, Exchange Rates, Channels, Approvals, Periods Accounting configuration and controls

Info: Access to each tab and action is role-controlled. The accounting navigation is not available to the viewer role; operators and managers have limited operational access. Owners, admins and accountants have broader access according to the action. See Roles & Permissions, and ask the account owner about missing controls rather than sharing an owner's credentials.

The Overview Dashboard

When you first enter the Accounting module, you see the Overview Dashboard. This page provides an at-a-glance summary of your business's financial health.

Summary Cards

At the top of the dashboard, four summary cards give you instant insight into your key financial metrics:

Card Icon Description
Revenue Dollar sign (green) Total revenue for the current month. Displays the percentage change compared to last month. A positive change is shown in green; a negative change is shown in red.
Expenses Receipt (red) Total expenses for the current month. The percentage change is color-coded inversely -- a decrease in expenses is green (good), while an increase is red.
Net Profit Trending up/down Net profit for the current month (revenue minus expenses). Shows an upward arrow icon when profit is growing and a downward arrow when it is declining. The percentage change compared to last month is displayed below.
Pending Invoices Document (amber) The number of invoices awaiting approval, along with their total outstanding amount. This card is clickable -- clicking it navigates you directly to the Sales Invoices list filtered by "Pending Approval" status.

Revenue Trend

Below the summary cards on the left side, the Revenue Trend chart displays your monthly revenue as horizontal bar charts. Each bar represents one month and shows:

  • The month/period label
  • The revenue amount (formatted in your configured currency)
  • The number of orders for that period

The bars are proportionally sized relative to the highest-revenue month, giving you a quick visual comparison across months. A View Invoices link in the card header takes you to the Sales Invoices list for more detail.

Expense Breakdown

On the right side, the Expense Breakdown card shows your spending organized by category. Each category displays:

  • A color-coded dot matching the category's assigned color
  • The category name
  • The total amount spent in that category
  • A proportional progress bar
  • The percentage of total expenses

This helps you quickly identify which areas of your business are consuming the most resources. A View Expenses link takes you to the detailed Expenses page.

Top Selling Products

In the lower-left section, the Top Selling Products table ranks your five best-performing products by units sold. The table includes:

Column Description
# Rank position (1 through 5)
Product Product name (clickable -- links to the product search)
Units Total number of units sold
Revenue Total revenue generated by this product

A View Orders link in the card header navigates to the Orders page.

Low Stock Alerts

In the lower-right section, the Low Stock Alerts card lists products whose inventory levels have fallen below the configured threshold. Each item appears as a highlighted amber card showing:

  • The product name
  • The number of items remaining in stock

Clicking any item takes you to the product search page for that item. If all products are well-stocked, the card displays a reassuring message indicating that no restocking is needed.

A View Inventory link takes you to the Inventory management page.

Warning: The low stock alerts are based on real-time inventory data. If you use the Warehousing module, ensure your stock levels are kept up to date through regular stock transfers and purchase invoice processing to maintain accurate alerts.

What's Next?
