Accounting Settings

The Accounting Settings page lets you configure the foundational parameters that govern how your accounting module operates. These settings affect currency formatting, tax behavior, invoice numbering, approval workflows, and your business identity on printed documents.

Accessing Accounting Settings

Navigate to Dashboard > Accounting > Settings > Settings.

Settings Overview

The settings page is organized into logical sections. All changes are saved when you click the Save button at the bottom of the page.

Currency Settings

These settings control how monetary values are displayed throughout the accounting module.

Setting Description
Currency The primary currency for your business (e.g., USD, EUR, GBP, IRR, AED, TRY). This is the default currency used on new invoices and reports.
Currency Symbol The symbol displayed alongside currency values (e.g., $, €, £, ﷼).
Currency Position Where the currency symbol appears relative to the number. Options: Before (e.g., $100.00) or After (e.g., 100.00$).
Decimal Places The number of decimal places for displaying monetary values. Common values: 2 for most currencies, 0 for currencies that do not use decimal subdivision (e.g., IRR, JPY).

Info: Currency settings affect the display format only. The underlying data is stored with full precision regardless of the decimal places setting. This ensures no rounding errors accumulate in your financial data.

Tax Settings

These settings configure the default tax behavior for your invoices.

Setting Description
VAT Enabled Toggle to enable or disable VAT/tax calculations globally. When disabled, no tax is applied to invoices by default.
VAT Rate The default VAT/tax rate percentage (e.g., 20 for 20%). This rate is pre-filled on new invoices but can be overridden per invoice.
VAT Number Your business's VAT registration number (or equivalent tax ID). This is displayed on printed invoices for tax compliance.

Warning: Disabling VAT does not remove tax from existing invoices. It only affects the default behavior for new invoices. Existing invoices retain their original tax calculations.

Invoice Numbering

These settings control how invoice numbers are generated.

Setting Description
Sales Invoice Prefix The prefix prepended to sales invoice numbers (e.g., INV-, SI-, SALE-). The system auto-generates a sequential number after the prefix.
Purchase Invoice Prefix The prefix prepended to purchase invoice numbers (e.g., PI-, PUR-, BUY-).

How Invoice Numbers Work

Invoice numbers are generated automatically in the format: [Prefix][Sequential Number]

For example, with a sales invoice prefix of INV-:

  • First invoice: INV-00001
  • Second invoice: INV-00002
  • And so on...

Info: Changing the prefix does not reset the sequential counter. If you change from INV- to SI- after creating 100 invoices, the next invoice will be SI-00101, not SI-00001.

Approval Workflow

Setting Description
Approval Enabled Toggle to enable or disable the approval workflow for invoices. When enabled, invoices go through a Draft > Pending Approval > Approved flow. When disabled, invoices can skip the approval step.

When Approval Is Enabled

  1. New invoices are created as Draft.
  2. The creator submits the invoice for approval (status changes to Pending Approval).
  3. An authorized user (admin, owner, or manager) reviews and approves or rejects the invoice.
  4. Approved invoices can then have payments recorded.

When Approval Is Disabled

  1. New invoices are created as Draft.
  2. The creator can directly submit the invoice, and it moves to Approved status immediately.
  3. Payments can be recorded right away.

Fiscal Year

Setting Description
Fiscal Year Start Month The month your fiscal year begins. Options: 1 (January) through 12 (December). Most businesses use January (1), but some use April (4), July (7), or October (10) depending on regional tax regulations.

The fiscal year setting affects:

  • How annual reports are calculated
  • The default date ranges for financial reports
  • Budget year boundaries

Business Information

These fields provide your business identity, which appears on printed invoices, PDF exports, and other official documents.

Setting Description
Business Name Your registered business name as it should appear on invoices and documents.
Business Address Your business's physical address.
Business Phone Your business's phone number.
Tax ID Your business's tax identification number (EIN, TIN, VAT number, etc.).
Invoice Footer Note A custom text that appears at the bottom of every printed/exported invoice. Use this for payment instructions, terms and conditions, or a thank-you message (e.g., "Thank you for your business. Payment is due within 30 days.").

Tips for Accounting Settings

  • Set up settings before creating your first invoice -- This ensures all invoices use the correct currency, tax rate, and numbering from the start.
  • Use a professional invoice footer -- This is visible to your customers. Include payment instructions and your bank details if applicable.
  • Enable approval workflow for teams -- If multiple people create invoices, the approval workflow adds an important quality control step.
  • Keep your business information up to date -- Changes to your business address, phone, or tax ID should be reflected here immediately.
  • Match fiscal year to your tax obligations -- Using the wrong fiscal year start month can cause confusion in annual reports and tax filings.
