Open Accounting > Operations. The tabs are Measurement Units, Installments, Receipts & Payments, Opening Balances, Consignment and Manufacturing. Owners, admins and accountants can access the full operations area; managers are limited to the supported consignment/manufacturing tabs.
Before you start
Prepare products, contacts, bank/cash accounts, warehouses and the appropriate accounting access. Check currency, posting date and open period. These actions can change balances or inventory; inspect the result before repeating a request after a timeout.
Measurement Units
- Open Measurement Units and create a unit with name, symbol, dimension and precision.
- Select the product to configure.
- Enable its permitted units and assign exactly one base unit.
- Set sale, purchase or alternate roles, conversion factors and quantity precision.
- Save, reopen the product's unit setup, and verify conversions with a small example.
For example, if a box represents multiple individual items, confirm the factor is relative to the selected base unit, not reversed. Used units may not be removable. Unit precision affects accepted quantities; it does not change a product's physical weight/dimensions.
Installments
- Select Customer receivable or Supplier payable.
- Choose an eligible unpaid sales or purchase invoice. Proforma, paid, cancelled or rejected invoices are not offered.
- Set installment count, first due date, frequency, any agreed interest amount and notes.
- Create the plan and inspect the schedule and outstanding balance.
- To record an actual payment, choose an active/overdue plan, bank account, amount and date, then submit.
- Review the invoice/payment result; use Cancel plan only for the intended schedule.
Creating installments does not automatically charge a customer's bank or activate a subscription payment gateway. Record only payments actually received or made.
Receipts & Payments
- Choose Receipt or Payment, contact, optional invoice, date, description and reference.
- Add one or more lines, selecting the method, bank/cash account, amount and reference.
- For cheque or promissory-note lines, provide instrument number and due date.
- Review the total and linked invoice, then save.
- Inspect the voucher, related balance and payment instrument where applicable.
- Use Void for a correction only after reviewing the consequences; do not duplicate the same receipt in another screen.
Opening Balances
- Choose the opening date and description.
- Add account, contact, bank/cash or inventory lines.
- Supply the corresponding account/contact/bank or product and warehouse. For inventory, check quantity and cost.
- Review the auto-balance option and all debit/credit effects with the responsible accountant.
- Save a draft, inspect it, then Post when correct.
- Verify opening balances and inventory. Use Reverse for a posted correction where allowed.
Do not import opening balances and also manually recreate the same historical entries. A draft does not have the same effect as a posted opening document.
Consignment
- Choose Received from owner or Issued to consignee.
- Select contact, start date, commission percentage, settlement days and notes.
- Add product, warehouse, quantity, unit cost and sale price; save the agreement.
- Activate the agreement after reviewing it.
- Use Record sale or Record return and enter the actual quantities, then Post.
- Check sold/returned quantities and remaining stock before Close.
Consignment stock and owned stock are not interchangeable. Do not record more than the actual remaining quantity, and do not treat closing an agreement as a customer refund.
Manufacturing
- Create a bill of material (BOM): output product, BOM name, output quantity and component products with quantities and scrap percentages.
- Save and review the BOM version. Activate/deactivate versions as needed; a new order should reference the intended active version.
- Create a production order with BOM, warehouse, production quantity and planned date.
- Review and Release the order using the available action.
- After actual production, choose Complete and confirm the inventory movements.
- Inspect component consumption and output stock. Cancel is a distinct action, not proof that previously completed movements were reversed.
Verification and troubleshooting
Missing product/account: check active status, permissions and setup lists. Posting blocked: inspect period status and validation details. Insufficient stock: verify the chosen warehouse, variant and units. Duplicate-looking balances: compare source document IDs before making adjustments.
A success message should be followed by a reloaded document and the expected ledger/stock movement. For an unknown result, inspect history or Support before retrying a balance-changing action.
